Administrative Assistant for Academic Departments

Position Summary:

The administrative assistant position is part of the academic department that primarily supports the department chair. Responsibilities include greeting constituents and answering questions about the assigned academic department , managing emails and outreach to students and faculty, obtaining supplies for the office, updating web pages and ordering print pieces, assisting with projects for the academic department and offering support specifically to the department chair.

This is a 10-month appointment (42 weeks) at .83 FTE for up to 40 hours/week for the academic year (August to June). 

Academic departments will be combined to make this a benefits-eligible position, departments served would be either: Science (5 programs); History; Religion Justice & Society; English and Spanish.

Required Qualifications:

  • Minimum Education:
    • College credits toward a Bachelor’s degree and prior experience with office management.
  • Skills:
    • The position requires strong communication skills;
    • organizational skills;
    • ability to work effectively with a diverse group of people, including faculty, students, and administrators
  • Systems Knowledge:
    • Computer knowledge including Word, Excel, and Google drive. 
  • Valid Driver’s License

Preferred Qualifications:

  • Earned Bachelor’s degree

Experience:

  • An understanding of higher education and the academic setting
  • Experience working with students
  • Familiarity with the experiences of first-generation, diverse, and other high-risk populations
  • Conversational fluency in Spanish

Essential Functions:

Support normal departmental operations – 85%

  • Support the department with managing email, outreach to students and faculty, updating web pages and print pieces, submitting expense reports, and ordering supplies
  • Serve as the front office contact, triaging questions about resources and where to find people
  • Maintain documentation and ensure confidentiality

Specific departmental needs include:

  • English & Spanish – management of Pinchpenny Press and Broadside publications
  • History – assist with outreach to prospective students
  • Religion, Justice and Society- planning for student events and assist with planning faculty travel
  • Science – ordering and inventory management for some labs, planning student events and special speakers

Other duties as assigned – 15%

  • Assist with special events, such as graduation receptions or student recognition
  • Coordinate guest speakers or faculty search processes
  • Pick up and deliver items across campus and occasionally at local stores
