Welcome Center Manager

Position Summary:
This position is responsible for creating an inviting and enjoyable visit experience for GC visitors, with a focus on prospective students and their families. This includes oversight of the Welcome Center, assistance in the creation and implementation of individual campus visits, support of admissions events and enrollment operations, and management of student workers.
This is a full-time, salary exempt position with an annual wage of $39,650.
Key Responsibilities:
I. Welcome Center Oversight (30%) – Responsible for creating an exceptional first impression for all Goshen College guests and visitors in the Welcome Center through outstanding hospitality and efficient maintenance of front desk operations. Satisfactory performance includes:
- Providing a Welcoming Environment
- Consistently ensure a friendly, knowledgeable presence at the front desk during Welcome Center hours, making all visitors feel welcomed and valued.
- Maintain a well-organized and clutter-free Welcome Center.
- Proactively assign appropriate coverage for the Welcome Center (e.g., student workers, counselors, and other admissions staff) as needed.
- Ensure prompt answering of the campus switchboard, minimizing calls to voicemail and forwarding calls and taking messages as needed.
- Information Management
- Keep brochure racks fully stocked with current print materials.
- Develop a broad understanding of admission requirements, events, policies, and deadlines to provide accurate information and excellent customer service.
- Maintain comprehensive knowledge of campus departments, employees, and activities for effective call transfers and directory updates.
- Oversee the daily pick-up, sorting, and internal delivery of Admissions mail
- Oversee the daily delivery of Admissions mail to Printing and Mailing.
- Manage Pop Up Shop sales and enrollment deposits.
- Visitor Engagement
- Actively connect with prospective students, remembering names and sharing relevant information (e.g., insights from counselors, local hospitality suggestions)
- Send confirmation emails/texts to all prospective visitors
II. Individual Campus Visit Support (20%) – Assist in the individual visit registration process and provide essential support to the Admissions Event Manager for admissions events on campus. Satisfactory completion includes:
- Development of Individual Visits
- Manage the registration of individual visits, keeping accurate records and
information in the admissions visitors database. - Build customized visit schedules that align with student needs and
interests, coordinating with campus stakeholders like counselors, staff,
student workers, faculty, overnight hosts, and coaches. - Create online visit registration forms
- Ensure visit folders and bags are prepared promptly.
- Create and distribute visit and event schedules to relevant on-campus
individuals promptly.
- Manage the registration of individual visits, keeping accurate records and
- Communication with Stakeholders
- Be ready to give campus tours when ambassadors are unavailable
- Maintain visit records in the admissions office database (Salesforce) and other key campus systems (e.g. Google calendars)
- Communicate as needed with faculty, coaches, and other staff regarding participation in visits
- Implementation of Visits
- Check visitors in, introduce their schedules, and make necessary changes or accommodations during their time on campus.
- Be available to assist with visitors and troubleshoot in the event of complications
III. Admissions Office Support (30%) – Provide operational support for admissions processes. Satisfactory completion includes:
- Admissions Event Support
- Assist with event setup, check-in, and tear-down, working closely with the Admissions Event Manager.
- Be available for occasional evening and weekend work during Admissions events (3-5 annually).
- Data Management
- Process official and unofficial transcripts and enrollment deposits
- Maintain data in Salesforce, actively collaborating with Admissions and ITS personnel to ensure prospective student data is accurate.
- Communication Assistance
- Share responsibility for communication flow mailings with the Enrollment Marketing Specialist.
- Triage incoming issues to identify potential operational candidates for automation and help pinpoint data integrity issues and possible solutions.
- Assist in the distribution of admissions materials and swag with counselors, visitors, and staff.
- Office Equipment and Facilities Management
- Submit help desk tickets for technological support (i.e. copier, front desk computer, etc.) and facilities and maintenance tickets for facilities support
- Maintaining general office supplies
IV. Student Worker Supervision (20%) – Responsible for hiring, training, scheduling, and overseeing student workers. Satisfactory completion includes:
- Oversight of the posting and hiring process for student workers
- Organization of comprehensive training for student workers in consultation with the admissions team
- Management of student worker schedules and determining workflow in collaboration with team members
- Approval of daily hour tracking and timesheets

- Associate’s degree

- Bachelor’s degree
- Two years prior experience in higher education, preferably in the area of
enrollment and/or administrative assistance

- Integrity and Discretion: Possess high integrity and ethics when handling all student data, and managing sensitive information in a discreet and professional manner
- Team Player: Committed to teamwork and mutual support of colleagues within the office.
- Institutional Alignment: Embraces the vision, mission, and core values of Goshen College and the Admissions Office.
PREFERRED:
- Database Experience: Experience with database applications, specifically Salesforce
- Social Media Skills: Knowledge of social media platforms
- Local Knowledge: Familiarity with local restaurants, activities, and accommodations in and around Goshen, Indiana.
- Bilingual: Ability to communicate fluently in Spanish
Physical Demands
This role operates within the normal range of an office environment, including sitting for long periods, typing, occasionally climbing stairs, and viewing a computer screen for extended periods. The work also involves light lifting, up to 25 pounds.
